Report by staff: bookings, revenue and payouts per staff member

By staff in the Reporting group of the sidebar shows one row per staff member and a Total row for the period you pick (when you pick exactly one person, the table shows only their row). It answers questions like "how many bookings did Maria hold in October, what did they bring in after discounts, how much of it was paid, and what does she get as commission?".

Pick who and when

  • Staff - the same picker as in the calendar: Whole team, Bookable staff only, or tick one or several people. The cards and the table count only the people you picked.
  • Period - Today, This week (Monday to Sunday), This month, Last month (the whole previous calendar month) or Custom with From and To dates, both days included, up to 367 days. The exact dates are shown under the buttons.
  • Location - with more than one location, the location switcher at the top of the dashboard narrows the report to one location, just like on Reports.

Days follow your clinic's time zone: a booking at 00:30 belongs to that day, whatever the server clock says.

Amounts include VAT - what the client pays - also when your price list is without VAT, so the list price, revenue, paid and net can be compared directly. They are in your organization's currency; if a branch group keeps its books in another currency, its bookings are counted but left out of the amounts, and a note under the table says so.

What the columns mean

All bookings

  • Bookings - every booking in the period except cancelled ones and no-shows (the same count as the Appointments card on the dashboard).
  • Cancelled and No-show - counted separately.

Past - bookings that have already started, and every booking already closed (a booking paid ahead of its time counts as held, not as upcoming).

  • Bookings and List price - their number and their price from the price list as saved with the booking.
  • Not closed - past bookings that are still scheduled or confirmed, not completed, and completed bookings whose receipt was voided or whose invoice was cancelled (nothing is billed for them any more). Close them - take the payment at the Point of Sale (Send to POS in the appointment) or Issue invoice in the appointment - so they count as held.

Upcoming - bookings from now until the end of the period: Bookings and Expected, the list price minus any promo code promised at booking.

Closed - completed bookings with a valid receipt or invoice.

  • List price - their price from the price list.
  • Discounts & promo - how much less than the list price was charged: promo codes, discounts at the till and prices lowered at the till.
  • Surcharges - how much more than the list price was charged: an add-on sold with the booking or a price raised at the till. Both are counted booking by booking, so a discount on one booking and an add-on on another never cancel each other out.
  • Refunds - refunds of their receipts.
  • Revenue after discounts - what was charged for these bookings, minus refunds.
  • Paid - payments taken for them at the Point of Sale, refunds deducted, plus invoices marked as paid without the till. An open invoice counts only its online prepayment.
  • Payment fees - what payment methods keep, today the Stebby fee (see below).
  • Net (after discounts and fees) - Paid (what the client paid after discounts) minus Payment fees: what actually reached the clinic.
  • Staff commission - commission already accrued for the person under Compensation for sales completed in the period. A dash means nothing was accrued: the report never calculates commission on its own, so press Compute commissions on the Compensation page first. Commission of a voided receipt is left out, here and under Compensation; a refund doesn't reduce commission yet.

Bookings and money follow the staff member assigned to the appointment, even if someone else took the payment. Commission follows the day the sale was completed, bookings follow the day of the booking.

Choose the columns

Columns at the top of the page, next to Export CSV, picks which columns the table shows, grouped like the table header. The table opens with these columns: Bookings under All bookings; List price of the past bookings; Bookings and Expected under Upcoming; Bookings, List price, Discounts & promo, Payment fees and Net (after discounts and fees) under Closed. Tick any other column to add it - cancelled, no-show, not closed, surcharges, refunds, revenue after discounts, paid, staff commission and the rest - or untick one to hide it. Show all turns every column on, As it was goes back to the default set, and at least one column always stays on. The choice is remembered in this browser on this device. A group disappears from the header when none of its columns is shown, and the Staff member column is always there.

Cards and export

The cards above the table add up the current selection: booked, past (with not closed), upcoming and closed bookings, then revenue after discounts (with discounts, and surcharges and refunds when there are any), paid, payment fees, net (after discounts and fees) and staff commission. They don't depend on the columns you chose.

Export CSV downloads exactly the columns you see, in the same order - one row per person plus the total. The file uses semicolons, so it opens straight in Excel.

Who sees what

You need access to Reports to open the page. The number of bookings is visible to everyone with that access. Amounts are shown only to roles allowed to see financial figures; others see the counts and a note that amounts are hidden. Staff commission also needs access to Compensation and a plan with staff pay. Export CSV is shown to roles allowed to export reports (for example the owner, an office manager and the accountant).

Stebby fee

Stebby pays the clinic out minus its fee. Set the fee under Company details → Point of Sale → Stebby fee, % (it appears once We accept Stebby is on; 10% until you change it). Tervita records the fee on each Stebby payment at the rate set at that moment - changing the rate later doesn't rewrite earlier payments. A refund goes back over the receipt's payment methods in a fixed order - cash first, then card and the rest, Stebby last - and the refund window has no choice of method. Only the part that goes back through Stebby (and a voided receipt) returns its share of the fee; the part paid back from the till leaves the fee, because Stebby keeps it then. So a small refund of a Stebby + cash sale, which is all cash, doesn't change the fee. Receipts, invoices, VAT and revenue always keep the full amount; the fee shows only in Payment fees and Net (after discounts and fees). Stebby payments taken before the fee setting existed were counted at 10%.
