Inventory and suppliers: stock levels, receiving, write-offs and low-stock alerts

Inventory is the stock you actually hold - consumables used up during appointments and products you sell at the till. It lives in the Services & products section of the sidebar, next to Services and Catalog.

Add a stock item

  1. Open Inventory and press Add Item.
  2. Fill in Item Name, Description, Quantity, Unit (e.g. pcs, ml, box) and a Low Stock Threshold.
  3. To sell it at the till, check Sellable in POS and set a Sale Price (€). Add an optional Cost Price (€), VAT rate (%), Reorder Point and SKU (optional).
  4. Press Add Item (or Save Changes).

Suppliers

Suppliers aren't a page of their own - you attach one to a product in the product catalog instead. On the product's Add/Edit form, pick an existing Supplier or add one on the spot with + New supplier….

Receive stock and record write-offs

Press the clock icon (Movements) on any item to open its Stock movements history.

  1. Choose Replenish (stock coming in) or Write-off (stock going out - damage, expiry, samples).
  2. Enter a Qty and a Reason (why) - both are required.
  3. Press Record. The item's quantity updates immediately; a write-off is blocked if it would take stock below zero.

You can also edit an item directly and change its Quantity field, but that doesn't leave a reason or a history entry - use Movements when you want a record of why the number changed.

Low-stock alerts

Once an item's quantity drops to its Low Stock Threshold or below, it shows a Low Stock status and counts toward a badge on the Services & products section of the sidebar. On the Inventory page, check Low stock only to filter the list down to just what needs reordering.

Linking stock to a service

Consumables a service uses up (gloves, a vial, a strip) are set on the service itself, not here: open Services, edit the service, and add items under Required Inventory Items. Completing an appointment for that service automatically deducts one unit of each required item. If any required item is out of stock, completing the appointment fails until you restock it or remove it from the service - see Services and the catalog.

Good to know

  • Item names must be unique within your organization - trying to reuse one (for example, adding the same catalog product to stock twice without renaming it) fails.
  • Deleting an inventory item is permanent; it removes the item rather than archiving it.
  • The Movements history only shows what you record manually here (replenish/write-off). Quantity used up by a completed appointment or a till sale updates the number immediately but isn't added to this history.
  • If your organization has more than one location, the list only shows items for the location selected in the header.
