Collect and manage client reviews

After a visit, clients can rate their experience and leave a review through a link you send them. This article covers turning the invitation on, moderating and replying to what comes in, and showing your rating publicly.

Turn on the review request

  1. Open Communications in the sidebar, then the Schedule tab.
  2. In the After the appointment section, turn on Review Request for Email and/or SMS.
  3. Use Min gap so a client who visits often isn't asked again too soon.

The message links to a one-time form - there is no login, the link itself is the client's access.

What a client can submit

The form asks for a 1-5 star rating, plus two optional fields: a Public review (may be published) and a private message to the clinic that your staff can read but that is never published. A rating with no written comment is also accepted.

Moderate and reply

Open Reviews in the sidebar.

  1. Use the Rating, Specialist and Status filters (Pending / Published / Hidden) to find what you need.
  2. Click a row to open its details.
  3. Press Publish to make a review public, or Hide to take it down again.
  4. Write a reply and press Send reply (or Update reply later). Your reply appears under the review on the public booking page, labeled "Reply from the clinic".

Only reviews with status Published are ever shown to clients - Pending and Hidden stay internal.

Show reviews on your booking page

Open Booking settings > Booking logic tab > Reviews section:

  • Require approval before publishing - on by default, so every new review waits for your Publish before it appears anywhere; turn it off and reviews publish the moment a client submits them.
  • Show ratings and reviews on the booking page - off by default. Turn it on and clients see a star rating and review count next to each specialist while choosing who to book with, and can open that specialist's full list of published reviews. You need at least one published review before anything shows.
  • Google review link and Ask for a Google review at (4 stars or more / 5 stars only) - paste your clinic's Google review link and clients who clear that rating are shown a one-tap invite to also post on Google right after submitting.

Good to know

  • The overview at the top of the Reviews page shows your average rating, review count, rating distribution and a monthly trend; the trend only appears once you have reviews from at least two different months.
  • A review belongs to one appointment. If Require approval before publishing is on, editing an already-published review sends it back to Pending until you approve it again; with approval off, edits publish immediately, like new reviews.
  • If the Reviews page is missing from your sidebar, ask an administrator to grant you the "View reviews" permission.
