Locations: run several branches from one account
If your clinic works from more than one address, you do not need a second Tervita account. Open Locations in the sidebar and add each branch.
Adding a branch
Press Add location and fill in:
- Location name - what staff will see when picking where an appointment happens.
- Address
- Phone
Every clinic starts with one location, created for you at sign-up from your company details.
The primary location
One branch is always the Primary. That is the one shown by default across the app - for new appointments, and wherever a single address has to be picked. Use Set primary on any other branch to move it.
Turning on Multi-location
Multi-location is off by default. An administrator turns it on in the sidebar under Organization > Company details: the Multi-location card, switch Enable multiple locations. With it on and two or more branches, appointments get a Location field and services get Offered at (see Services and catalog).
Booking at a branch
When Multi-location is switched on in the clinic settings and you have two or more branches, the appointment form asks where the visit happens: a Location field right under Employee / Doctor. It comes filled in, and you can change it. It suggests the branch picked in the Location switcher at the top of the screen; with all locations shown there, the branch of the chosen room or device, else the branch the specialist works at that day: the one their schedule names for that day, otherwise their default branch (the only branch they work at; with several, the one they were ticked at first, the primary if ticked at the same time). The appointment is saved at the branch the field shows. On an existing appointment the field shows where it is booked; change it, or choose a room or device at another branch, to move it there. A completed, cancelled, no-show or invoiced visit keeps its branch: the field is shown but can't be changed.
While the field shows its suggestion, Cabinet / chair lists every room, and choosing a room at another branch moves the field to that branch; an existing appointment lists every room too until you change the field. Once a branch is chosen - in the field or in the switcher - only that branch's rooms and rooms with no location are listed. A note under the field tells you when the specialist works at another branch that day, or doesn't work at the chosen one. It never stops you saving.
With one branch picked in the Location switcher, the calendar's Day view and Today show that branch's appointments, with columns only for the staff who work there that day: that day set to it in their schedule, or - for a day not set to a branch - it is their default branch. A person works at one branch a day, so someone ticked at two branches has a column at only one of them that day. Anyone with an appointment at the branch that day keeps their column, and so do people you pick by hand in the Staff filter.
Good to know
- Adding branches does not change your subscription price. Tervita is priced by the number of specialists who take bookings, and all locations are included - see Subscription and billing.
- Staff, services and schedules are shared across the account, so a specialist who works at two branches is one person in the system, not two. Tick each branch they work at under Works at when you edit them (under Team, open Employee), and choose the branch for each working day in the schedule Calendar.
- A location that staff schedule days (past ones included) or sales documents use can't be deleted: it stays in the list. Contact support if it must be removed.
- If you are moving a whole network onto Tervita and want the branches set up for you, ask support rather than typing them in one by one.
