Employees, roles and invitations: get your team into Tervita
Every person who works in your clinic gets a login and a role that controls what they can see and do. Here's how to invite someone, what happens on their side, and how roles work.
Invite a new team member
- In the sidebar, under Back office, open Employee, then click Add Employee.
- Fill in First Name, Last Name, Email, and optionally Phone (Optional).
- Pick a System Role - a preset role, one of your Custom Roles, or -- No System Role -- for staff who just need to be bookable, with no dashboard access. + Create New Custom Role builds one on the spot.
- Click Add Employee to send the invite.
They appear in your list right away as Pending. No email arrived? Open their row and click Resend invite - the only action available while pending. An email already tied to a Tervita account can't be invited again; use a different address.
What the invitee sees
The invite links to a page where they set a password (Save & continue) and land straight in the dashboard with whatever their role allows. Their status switches from Pending to Active once this is done.
Choosing a role
Four preset roles ship with Tervita, shown under these names for every clinic no matter your interface language: Владелец (full access, including salaries and billing), Офис-менеджер (everything except salaries and billing, plus managing employees and roles), Сотрудник (schedule and point-of-sale access), and Бухгалтер (invoices, point-of-sale, and financial reports).
Need something else? Build a custom role while inviting or editing someone, or from Roles under Settings, by ticking the permissions it needs. Only an existing Владелец can grant or remove owner-level access.
Change a role or remove someone
Open an employee's row, change their System Role in Edit Employee, and click Save Changes. Email can't be edited afterwards.
To remove someone, use the delete action and confirm Yes, delete employee - this ends their access for good, can't be undone from the dashboard, and doesn't touch their login elsewhere. Lost a two-factor device instead? Use Reset 2FA on their profile rather than removing them.
Good to know
- A person can be invited with no role at all - useful for staff who provide services but never open the dashboard.
- Role names always display in Russian, whatever language you use Tervita in.
- Removing an employee ends their access; there's no separate suspend option today.
- Resending an invite emails the same address again with the same role.
- Each employee's own schedule and time off live on their profile - see Set your working hours.
